Nova Forge Works - Term and Conditions 
 

1. Commission and Quotations

1.1 All quotations provided by Nova Forge Works are valid for 30 days from the date of issue.

1.2 We aim to respond to all enquiries within 72 hours; however, response times may vary during busy periods.

1.3 A contract is formed when a quotation is accepted and the required deposit has been paid.

1.4 The contract remains in effect until the commission has been completed, cancelled in accordance with these terms, or otherwise terminated by agreement between both parties.

2. Deposits

2.1 A deposit of 10% of the service fee, together with the full cost of any materials, models, or components required for the commission, is payable to secure a booking.

2.2 Deposit amounts and costs will be clearly detailed within the quotation.

2.3 Following approval of the Proof of Concept (POC), a further payment equal to 40% of the service fee will be required before work continues.

3. Timescales

3.1 Estimated completion timescales will be discussed and agreed during the quotation stage.

3.2 All timescales are estimates only and are not guaranteed.

3.3 Nova Forge Works reserves the right to amend completion dates where circumstances reasonably require it. Customers will be informed of any significant changes.

4. Model Supply, Building and Preparation

4.1 Nova Forge Works' preferred method is to purchase, assemble, prepare, and paint models on behalf of the customer.

4.2 Customers wishing to supply their own models must clearly state this within the enquiry form.

4.3 Any customer-supplied models must be removed from sprues and cleaned to an acceptable standard, including the removal of mould lines and excess material.

4.4 If supplied models do not meet Nova Forge Works' preparation standards, we reserve the right to:

• Return the models to the customer;
• Apply additional preparation charges; or
• Cancel the commission.

4.5 Nova Forge Works provides a consistently high tabletop-ready painting standard rather than offering multiple painting tiers. Examples of our work can be found within our portfolio.

5. Updates and Amendments

5.1 Customers will receive regular work-in-progress updates throughout the commission where appropriate.

5.2 Minor amendments may be requested during the commission without additional charge where reasonably practical. Examples include small colour adjustments or minor detail changes.

5.3 Significant amendments that require substantial additional work may incur additional charges.

5.4 Any additional costs arising from requested amendments will be discussed and agreed before the work is undertaken.

6. Proof of Concept (POC)

6.1 The purpose of the Proof of Concept stage is to demonstrate the proposed paint scheme and overall direction of the commission before full production begins.

6.2 Once the initial deposit has been paid and work has commenced, a single miniature or representative sample will be provided for customer review.

6.3 During the Proof of Concept stage, customers may request reasonable amendments to the agreed scheme.

6.4 If the customer is not satisfied with the Proof of Concept, they may cancel the commission at this stage and will be entitled to a full refund of the initial 10% service fee deposit; and a 50% refund of any model or material purchase costs paid to Nova Forge Works.

6.5 If the Proof of Concept is approved, a further payment equal to 40% of the service fee becomes payable.

6.6 Following approval of the Proof of Concept, all deposits become non-refundable.

6.7 The remaining 50% of the service fee will be invoiced upon completion of the commission.

7. Payments

7.1 Nova Forge Works accepts payment by Bank Transfer or PayPal

7.2 Final payment is due within 30 days of the completion notification being issued.

7.3 If final payment is not received within 30 days, Nova Forge Works reserves the right to cancel the commission.

7.4 In the event of cancellation due to non-payment:

• No refund will be issued;
• Ownership of completed work remains with Nova Forge Works; and
• The customer may not receive the commissioned products.

8. Shipping and Delivery

8.1 Shipping and packaging costs will be detailed within the quotation.

8.2 Nova Forge Works exclusively uses tracked and insured delivery services.

8.3 We currently offer shipping throughout the United Kingdom, Europe, and Worldwide.

8.4 International deliveries may be subject to import duties, taxes, customs fees, or other charges imposed by the destination country.

8.5 The customer is solely responsible for any customs duties, taxes, or import charges.

8.6 Nova Forge Works has no control over customs charges or customs processing times.

8.7 Failure to pay customs fees may result in delays, returned parcels, or the parcel being withheld by customs authorities.

8.8 Nova Forge Works is not responsible for delays, losses, or damage caused by postal or courier services once the parcel has been dispatched.

8.9 Shipping costs reflect not only postage charges but also the cost of packaging materials and the time required to securely package commissions for safe transit.

9. Service Availability and Pricing

9.1 Prices are subject to change without notice.

9.2 Nova Forge Works reserves the right to modify, suspend, or discontinue any service at any time without prior notice.

9.3 Such changes will not affect commissions that have already been accepted and paid for unless otherwise agreed.

10. Website Information

10.1 Information provided on our website is for general guidance only.

10.2 Whilst we endeavour to keep information accurate and up to date, we do not guarantee that all information is complete, accurate, or current.

10.3 Customers should not rely solely on website content when making decisions regarding commissions.

11. Personal Information

11.1 Any personal information submitted through our website, enquiry forms, or correspondence will be processed in accordance with our Privacy Policy.

11.2 Payment information is processed securely. Credit card information is encrypted during transmission across payment networks.

12. Acceptable Use

12.1 Customers agree not to reproduce, duplicate, copy, sell, resell, or exploit any part of the service without prior written permission from Nova Forge Works.

12.2 Unauthorised use of website content, branding, images, or commission materials is prohibited.

13. Changes to Terms and Conditions

13.1 Nova Forge Works reserves the right to amend these Terms and Conditions at any time.

13.2 Updated versions will be published on our website.

13.3 Continued use of our services following publication of updated Terms and Conditions constitutes acceptance of those changes.

14. Governing Law

14.1 These Terms and Conditions and any separate agreements for services provided by Nova Forge Works shall be governed by and interpreted in accordance with the laws of England and Wales.

14.2 Any disputes arising from these Terms and Conditions shall be subject to the exclusive jurisdiction of the courts of England and Wales.

15. Right to Refuse Service

15.1 Nova Forge Works reserves the right to refuse, decline, suspend, or cancel any commission at its discretion.

15.2 Where a commission is cancelled by Nova Forge Works, any applicable refund will be determined based on the stage of completion and any costs already incurred.
